Visual Elements 65: Annual Juried Exhibition

Visual Elements 65 Call to Artists

To mark the 65th anniversary of the Woodstock Art Gallery’s annual juried exhibition, Visual Elements 65 will be a cross-border celebration of art with Woodstock’s sister city, Sylvania, Ohio.

Artists in southwestern Ontario and the communities of Sylvania and Toldeo, Ohio, are invited to submit their work.

The exhibition will be presented at the Woodstock Art Gallery from July 15 to September 24, 2023, and at the Canticle Center Gallery, Lourdes University from October 14, 2023, to January 2024. A virtual exhibition will also be organized by the Woodstock Art Gallery.

Artist submissions will be accepted through an online registration form. Please read the terms of entry and file requirements below for details.

This year we are once again offering a reduced fee for early bird submissions. Register online by April 3, 2023, at noon and pay $5 CAD per entry (regular $10 CAD per entry).

Terms of Entry

  • Open to southern Ontario artists, Sylvania artists and members of the Toledo Federation of Art Societies (TFAS) working in any medium. All Canadian artists must be current members of the Woodstock Art Gallery. To purchase or renew your membership, please complete the online Membership Purchase form. US artists are not required to purchase a WAG membership.
  • Maximum of two works per artist.
  • $10 CAD entry fee per artwork ($5 CAD for early bird submissions received by April 3, 2022 at noon). Payment must be made by credit card through the online registration form.
  • All artwork and artist statements will be submitted through the online registration form. Email entries will not be accepted. Please see below for file requirements.
  • Please be as specific as possible when listing the medium of the entry on the registration form.
  • WAG reserves the right to refuse any artworks due to questions of copyright, ownership and/or authorship.
  • All works must have been completed within the last 18 months, are wholly original and have been created by the submitting artist.
  • Artists whose work is selected by the jury will be notified by June 9, 2023.
  • The jury’s decision is final. No entry may be withdrawn after the exhibition has been installed. The virtual exhibition will remain on the WAG’s website indefinitely.
  • Instructions for artwork drop-off at the Woodstock Art Gallery (Canadian artists) and Lourdes University (US artists) will be provided upon notification of acceptance. Pick-up instructions will provided following the conclusion of the exhibition in February 2024.
  • Submissions must be ready-to-hang with d-ring and wire (if applicable) and have no wet media. New media works must come with AV equipment and instructions provided by the artist.
  • All cross-border shipping and insurance costs will be covered by WAG.
  • All accepted artworks will be insured while on the premises at WAG and the Canticle Century Gallery until the last specified pick-up date.
  • Canadian artists will receive a stipend of $50 CAD for each work exhibited as per the Canadian Copyright Act. Payments will be issued after July 15, 2023, and may take 4 – 6 weeks to process. Payments are issued by the City of Woodstock via direct deposit. US artists will not be paid a stipend, with the funds directed instead to the cost of exhibition.
  • Artist travel to Woodstock, Ontario or Sylvania, Ohio will not be covered by WAG. Artists must assume all costs if they choose to travel for the exhibition.
  • Works will not be available for purchase.
  • By entering the exhibition, artists grant WAG the right to use images of artwork(s) and artist statements for the virtual exhibition, poster, publicity, advertising, educational reference, and social media.
  • Registration forms must be submitted online by May 1, 2023, at noon to be considered for the exhibition. No late entries will be accepted. No email entries will be accepted.

File Requirements

  • Images should be well lit, clear and as high quality as possible. If your artwork is accepted by the jury, the images submitted during registration will be used in the virtual exhibition. Images deemed low quality will not be accepted.
  • Each entry may be represented by up to three different views, for a total number of six files per artist. We recommend multiple views be submitted for 3D works.
  • For each artwork submitted, please provide a 100 word artist statement. The WAG reserves the right to edit these statements for length or clarity.
  • Files must be labelled: “Artist’s Last Name_Title of Work” (ex. Smith_MyArtwork). Add a number to the file name if you are submitting multiple images (ex. Smith_MyArtwork_1).
  • Images should be submitted as JPG, JPEG or PNG files only. The registration form will not accept PDF files.
  • File resolution must be no larger than 300dpi to a maximum of 2MB. A minimum width and/or height of 1000 pixels is recommended.
  • No email submissions — registration form uploads only. 

Cultural Canvas — Artist Vendors

Formerly Art in the Park, Cultural Canvas is #acommunityartgathering, where everyone is welcome to come together to enjoy a variety of arts, culture and community!

Cultural Canvas will showcase live entertainment from a variety of musical genres, multi-cultural dancing, interactive art activities, local authors, local artists selling one of a kind items, artisan displays, food, a beverage garden and more!

This year we are offering a reduced fee for early bird submissions. Register online by April 19 at 4pm and pay $30 per 10' x 15' space (regular $50 per space).

Terms and Conditions

  • Artist vendors must be current members of the Woodstock Art Gallery. To purchase or renew your membership, please complete the online Membership Purchase form.
  • Registration fees are non-refundable.
  • Staff has the right to refuse an artist vendor if deemed inappropriate or unsafe.
  • Artist vendors have no exclusivity.
  • Artist vendors are accepted at a first come, first serve basis.
  • Receipt for vending space will be emailed to the artist vendor.
  • Artist vendors are required to provide their own tables, chairs, tents, tent weights etc. No exceptions.
  • Requests for specific booth locations, will not be honored and cannot be changed prior to the event or the day of it.
  • Information on booth locations, parking and set-up instructions will be sent to the artist vendor one week prior to the event.
  • Artist vendors are responsible for taking their belongings to their vehicle if they leave before the end of the event. Artist vendors will not be allowed to drive into Museum Square for loading and unloading purposes, only during the appointed times.
  • Vehicles and trailers must be removed ASAP to nearby parking. No unauthorized vehicle or trailer will be allowed to remain onsite under any circumstances.
  • No electrical available at Museum Square for Artist vendors. 
  • All artwork and artist statements will be submitted through the online registration form. Email entries will not be accepted. Please see below for file requirements.
  • WAG reserves the right to refuse any artworks due to questions of copyright, ownership and/or authorship.
  • By entering the event, artists grant the WAG the right to use images of artwork(s) for publicity, advertising, and social media.

Certificate of Insurance

A Certificate of Insurance showing a minimum of $2 million liability insurance is required. Policies can be purchased from PAL InsuranceDUUO or through your insurance provider.

Certificate of Insurance must include:

  • Business Name
  • Business Address
  • Expiry Date
  • $2 million liability
  • Added Insured: City of Woodstock, 500 Dundas St. Woodstock, ON N4S 0A7
  • A notation by the insurance company that your policy is enforced for this event: 
    The City of Woodstock Cultural Canvas 2023. Location: Museum Square, 466 Dundas St. Woodstock, ON N4S 1C4
