FAQ'S

How do I book a party?

Parties are booked through WAG Visitor Services either through email, in person or over the phone. Parties must be booked no less than two weeks in advance. Forms and payment are due in full no less than one week prior to party date.

When, where, and how do we pay?

Payment is due no less than one week prior to party date. Payments can be made in person at the WAG’s front desk or over the phone with a valid credit card. The WAG accepts cash, cheque, debit, VISA or Mastercard. Please make all cheques payable to “City of Woodstock-Art Gallery”

What is your cancellation policy?

Cancellations received two weeks or more prior to the scheduled party will be subject to an administration fee of $25.00 and a full refund will be issued. Cancellations received less than two weeks prior to the party will not receive refunds. All cancellation notices must be received in writing and submitted to waginfo@cityofwoodstock.ca. In the event of inclement weather and the WAG is officially closed, a credit note for a future party will be issued.

What can I expect from a birthday party at the WAG?

It is a fun-filled hands-on art experience in an informal atmosphere for your child
and their friends. A two hour program approximate schedule is as follows:
2:00PM - 2:15PM — Party guests arrive, introductions & guidelines
2:15PM - 2:30PM — Guided tour
2:30PM - 3:20PM — Discussion & guided art activity
3:20PM - 4:00PM — Photos, gifts, cake, etc.
Please dress accordingly. Participants will be using artist quality materials which may run the risk of staining clothing. Paint shirts will be provided, however please ensure your child is dressed for mess!

Am I required to stay with the children during the party?

To ensure adequate supervision, all parties must have a minimum of two adult chaperones.

Where do we go when we arrive?

Please check in with Visitor Services at the front desk. All parties are facilitated in the classroom on the 3rd floor. Arrival may take place no earlier than 15-20 minutes prior to the start of your party.

Where do we park?

Two hour parking is available on Dundas St, there are also several Pay & Display lots within walking distance of the Gallery.

May we decorate the party room?

Yes, decorating the birthday party space is encouraged! Please plan to arrive to decorate no earlier than 15-30 minutes prior to scheduled party start time. Please note that pyrotechnics are strictly prohibited in the building (candles, sparklers, etc.).

Can we have balloons?

Yes, you can bring balloons. All balloons will need to be taken with you at the end of the party, all helium balloons leave with you and latex balloons will need to either be popped and disposed of or taken with.

How many people may attend the party?

The birthday party minimum fee of $150.00 includes up to 10 children with adult chaperones. Additional children may be added for $15 each, up to a maximum of 15 participants. Due to supervision requirements in the party room, maximum participants may not be exceeded.

Can we bring food and drinks to the party?

Food and drinks are permitted in the party room. Please bring cutlery, plates, napkins, cups, tablecloths, and any other necessary items required. No food or drinks are permitted in the galleries. Again, due to WAG regulations, pyrotechnics (candles, sparklers, etc.) are strictly prohibited.
